Terms of Service
Effective August 3, 2026
These terms are a plain-language agreement between you and The Dungeon Trainer LLC, a Colorado limited liability company doing business as The Dungeon Trainer ("we", "us"), for use of the The Dungeon Trainer website and app (the "Service"). By creating an account or using the Service you agree to these terms. If you do not agree, do not use the Service.
1. Beta service
The Service is in beta. It will change, may be unavailable, and may contain bugs. Features can be added, changed, or removed, and we may reset or delete data between updates. The Service is provided "as is" and "as available" without warranties of any kind. Do not store anything in the Service that you cannot afford to lose.
2. Eligibility and your account
You must be at least 18 years old, or the age of majority where you live, to use the Service. You are responsible for your account, for keeping your login credentials secure, and for all activity under your account. Tell us promptly at support@thedungeontrainer.com if you suspect unauthorized use.
Registration is subject to eligibility, availability, and our abuse controls. We may require verification steps such as email confirmation or a bot check, and we may limit, suspend, pause, or close registration, in whole or for particular accounts, to protect the Service. One person should hold one account; creating accounts in bulk or to evade limits or a suspension is not permitted.
3. AI-generated content
The Service uses AI models to generate narration, characters, images, and other content. AI output is generated automatically, can be inaccurate, inconsistent, or unexpected, and is not professional advice of any kind. You are responsible for how you use it. We do not guarantee that AI output is original, correct, or suitable for any purpose. Your prompts and play content are sent to third-party AI providers to produce responses (see our Privacy Policy).
4. Acceptable use
You agree not to:
- use the Service for anything illegal, or to create or share content that is unlawful, harmful, harassing, hateful, or sexually exploitative of minors;
- attempt to break, probe, or circumvent the Service's security, rate limits, or access controls, or access data that is not yours;
- scrape, resell, or commercially redistribute the Service or its output except as the Service expressly allows;
- abuse the AI features to generate excessive load or to extract the underlying models or prompts; or
- misuse other people's shared campaigns or invitations.
We may suspend or terminate accounts that violate these terms or put the Service or other users at risk.
Conduct in the Service's social and community features is also governed by our Community Guidelines, which these terms incorporate.
5. Game rules content
Rules content is the System Reference Document 5.2 ("SRD 5.2"), used under the Creative Commons Attribution 4.0 International License. The Service is independent and is not affiliated with, endorsed by, or sponsored by any other company; it uses no third-party game branding. "5E compatible" describes rules compatibility only.
6. Your content
You keep ownership of the campaigns, characters, and other content you create. You grant us a limited license to store, process, display, and transmit that content as needed to operate the Service for you and the people you invite to your table, including sending it to the AI and infrastructure providers that power the Service. You are responsible for the content you submit and for having the rights to submit it.
7. Community features and meeting other players
The Service includes opt-in social features, including the Gathering Hall, where you can be discovered by and connect with people you do not already know. These features are for adults only: you must confirm you are at least 18, or the age of majority where you live, before a party-finder profile can be discovered or a recruiting listing published. Discovery is off until you turn it on, and you can pause it at any time.
Anything you write into a discoverable profile, a listing, or an application can be read by people you have not met, and anything you post in a table lobby is read by everyone accepted to that table. Do not include personal information you would not publish. Before publication we automatically reject some categories, specifically links, email addresses, phone numbers, social handles, invite links, and named payment services, but that check cannot catch everything and you remain responsible for what you submit. Report and Block are available on all of these surfaces, lobby messages included.
We are not a party to any arrangement you make with another user, and we do not verify identity, background, or conduct. Use the reporting and blocking controls, and your own judgement, when deciding who to play with. Never send money to someone you met through the Service.
We may remove listings, applications, and messages, restrict your ability to post, apply, invite, or message, or suspend an account where content or conduct breaks these terms or the Community Guidelines.
8. Plans, credits, and payments
The Service has a free plan with daily allowances, and paid plans that raise those allowances and unlock further features. Credits are an optional top-up that applies only after a plan's allowance is used; they are not a currency and have no cash value. Current prices, allowances, and what each plan includes are shown on our pricing page and in the app, and may change; a price change affecting your existing subscription takes effect at your next renewal, not mid-period.
Paid plans are subscriptions that renew automatically for the same period until cancelled. Payments are handled by our payment provider, Polar, acting as the merchant of record: your card details are processed by them and not stored by us, and they collect and remit any applicable sales tax, VAT, or GST. Upgrades apply immediately with billing prorated by the provider; downgrades take effect at the end of the current period.
We may grant complimentary access at our discretion. Complimentary access has an end date, ends by itself, does not convert into a paid plan, and is never charged for.
9. Cancellation and refunds
Cancelling and refunding are separate actions, and one does not do the other. Cancelling stops future renewals. Requesting a refund returns money already charged. If you want both, do both: a refund on its own leaves your subscription active and it will renew.
You can cancel at any time from your Account settings, without contacting us. Cancellation takes effect at the end of the period you have already paid for: you keep that access until then, and your account moves to the Free plan afterward. We do not automatically refund the remainder of a cancelled period.
Refunds are requested by email to support@thedungeontrainer.com. Our position is:
- Your first payment. If a paid plan is not what you expected, email us within 7 days of the first charge on your account and we will consider refunding it. First-payment refunds are at our discretion and are not automatic.
- Renewals. Renewal charges are not refundable, so cancel before the renewal date if you do not want the next period. We will refund a renewal where the law requires it, or where the charge was a duplicate, was not authorized by you, or was our billing error.
- Credit packs. A pack stops being refundable once any credit from it has been spent. A pack you have not drawn on at all can be refunded if you email us within 7 days of buying it.
- If the Service fails you. Where an outage or a defect stopped you using what you paid for, we may issue a refund or account credit. Which of the two, and how much, is our decision and is made case by case.
Refunds are issued to the original payment method through our payment provider. None of this limits any statutory refund or cancellation right you have where you live, including any statutory cooling-off period, which applies in addition to this section.
10. Intellectual property
The Service, including its software, design, and branding (excluding SRD content and your content), belongs to us or our licensors. We grant you a personal, non-transferable, revocable license to use the Service under these terms. You may not copy, modify, or reverse engineer the Service except as the law allows.
11. Termination
You may stop using the Service at any time, and you can have your account and its data deleted by asking us at support@thedungeontrainer.com; deletion is handled by request rather than by a button in the app today. We may suspend or end your access if you violate these terms, if required by law, or if we discontinue the Service. Sections that by their nature should survive termination (such as disclaimers and limitations of liability) will survive.
12. Disclaimers and limitation of liability
To the fullest extent permitted by law, the Service is provided without warranties, and we are not liable for indirect, incidental, or consequential damages, or for lost data or content, arising from your use of the Service. Our total liability for any claim relating to the Service is limited to the amount you paid us, if any, in the three months before the claim. Some jurisdictions do not allow certain limitations, so some of these may not apply to you.
13. Changes to these terms
We may update these terms as the Service evolves. When we do, we update the effective date at the top of this page. For changes that materially affect your rights, including pricing, renewals, cancellation, refunds, or how we use your data, we will tell you by email and in the app, and we will ask you to accept the updated terms the next time you sign in. We record which version you accepted and when.
If you do not accept an updated version, you can stop using the Service and ask us to delete your account; the terms you previously accepted continue to govern your use until then.
